Department/Discipline Symposiums/In-Service Training Meetings

IPD allocates funds each year to be used for on-campus workshops and seminars or for department/discipline retreats.

Due to limited funding, IPD can only cover expenses for full-time and part-time faculty (7.5+ LHE). The event must serve a professional development need for the faculty involved. A professional development need is defined as a process by which faculty may enhance their professional and human relation skills, attitudes and knowledge. This includes expanding of ones knowledge in his/her field of concentration, the continual mastering of the teaching/learning process, and/or contributing to the improvement of the total instructional program of the college.

Identify specific areas of interest in your department/discipline, such as training, innovation, or solutions to department needs. Symposium topic suggestions include, but are not limited to, the following:

Promoting Student Success
Problem Solving Technology
Computer Training
Student Learning Outcomes
Sabbatical Report at CIL

Symposiums should support your department and/or campus-wide goals and meet at least one of the AB1725 guidelines:

Improvement of Teaching Knowledge/Skill maintenance Development of Innovation In-Service Vocational Training Computer & Technology Proficiency Retraining for Instructional Needs

Funding

Due to limited funding, IPD can only cover expenses for full-time and part-time faculty (7.5+ LHE). Consideration for funding also includes, but not limited to the number of faculty participating, total cost, and whether funding has been granted in the past.

Covered Expenses: Actual expenses maximum $50 per person not to exceed $5.00/materials, $15.00/snack and $30.00/lunch.

Snacks – if preferred, you may purchase snacks out-of-pocket not to exceed the snack budget and submit an original itemized receipt* to the IPD office to request reimbursement.

Materials - Contact the IPD office at GWCIPD@gwc.cccd.edu in advance of submitting a GWC Graphics work order and IPD will notify Graphics to charge to the IPD account. You may also purchase materials out-of-pocket not to exceed the materials budget and submit an original itemized receipt* to the IPD office to request reimbursement.

Non-covered Expenses: facility rentals, speaker stipends, and substitutes or participation incentives, such as stipends or give away items.

* Without an itemized receipt, your reimbursement for out-of-pocket expenses cannot be processed.

Application Process

Applications are accepted on an ongoing basis and should be submitted at least SIX (6) WEEKS prior to the requested date of event. This will allow the IPD office time to obtain the administrative approvals required to hold a campus event. Department symposiums planned for early Fall should be submitted to the IPD for approval no later than the IPD’s final meeting in May. Early spring events should be submitted no later than the final meeting in December. <IPD application deadlines> Please note the IPD does not convene during the summer and winter intersession therefore it is recommended that you plan accordingly. The IPD accepts applications up to a year in advance. It is recommended that you submit early to secure your funding and contact the IPD office to report any changes to the original authorization (date, # of attendees, etc.).

Notification of the committees decision will be sent to the applicant's GWC email.

Food Ordering Process

Covered food expenses are per person and not to exceed $15.00/snack and $30/lunch for eligible faculty participants. Eligible faculty participants include full-time faculty and part-time faculty (assigned to 7.5+ LHE).

Per the Bursars Office, all food orders must be coordinated in advance, a PO is created, and the food is ready at the event by delivery or picked up. This allows you to monitor your order to prevent exceeding the food budget. Dine-in orders at the time of the event are not permitted.

Select from a contracted vendor. District has a NET-30 arrangement and will mail direct payment. (IPD Caterer Recommended List)
You have the option to order a buffet meal with various options for guest’s dietary restrictions or have guests choose their meal beforehand.
Submit the itemized food quote to the IPD office no later than (6) weeks prior to the date of the event and provide the name and email address of the vendor’s contact person. The IPD office will create a purchase order.
Adding a 10-15% tip to the final invoice is permitted.
Applicant is responsible to submit the final itemized invoice* to the IPD office within (10) days following the event. This will inititate the payment process to the caterer.

Verification of Completion

Within ten days after the event, the Symposium/Workshop applicant is responsible for forwarding an attendance sheet and copies of symposium presentation materials to the IPD Office.
